Thank you note examples: Writing thank you notes in the workplace is different from writing a personal thank you note. You must convey a
certain amount of professionalism while thanking the person for their time or gesture.
Below are two thank you letter examples and general guidelines to follow. These two letters cover the topic of a job interview and job acceptance thank you letter, but can be used as sample thank you letters for other topics as well.
Thank you note examples are important to use as part of workplace employee recognition, employee retention, employee engagement and employee of the month programs.
Guidelines for interview thank you note examples:
- Use business stationery and mail within a
day or two from the date of the interview. This should be type written.
- Be brief and to the point. Start out by thanking them for the interview as an initial one-liner with the date of the interview included.
- Again, state the main qualification that you possess that is relevant to the job you interviewed for. This should be, at the most, two sentences in length.
- The last sentence or two should state that you were thankful for the interview and that it was a pleasure to meet them. Let them know that you hope to speak with them again soon.

Mr. Smith,
Thank you for the opportunity of the interview that we had on Friday, April 16th. I believe that my business education and experience would allow me to serve your company well.
Thank you, again, for your time and consideration in this matter. It was a pleasure to meet you. I look forward to hearing from you soon.

Guidelines regarding an acceptance letter thank you note:
- Use business stationery and mail the note, type written, within one to two days of receiving the letter.
- The note should be brief and to the point stating appreciation, the actual acceptance of the position and pertinent facts restated, such as salary, benefits and starting date. You can also choose to restate this as "as stated in the salary and benefit package outlined in the acceptance letter."

Upon receiving your job offer proposal on April 19th, I have decided to accept your offer of this position and salary/benefit package as stated in the benefit package outlined in the acceptance letter.

Tips for writing a thank you letter (Thank you note examples)
- Use the appropriate level of familiarity for the purpose of the thank you letter.
- Start with the greeting
- Include a heading
- Write an opening summary paragraph
- Have a main body to the letter that specify what it is you are thanking the person for. Be specific and sincere.
- Have an appropriate ending. If you are writing in a professional capacity you could try ending off with “Kind regards”. It is important to maintain the level where your relationship is at and to work with that. If you are on very professional terms it may be better to keep the thank you letters on formal. You could say cheers, or love or yours sincerely
- Proofread the letter before you send it.

You could thank a colleague for going out of
